Job Title: Executive Assistant & Office Manager

Job Summary:

The Executive Assistant & Office Manager (EAOM) is responsible for supporting the executive team at EDCUtah, managing communication and coordination with the EDCUtah Board of Trustees and overseeing all facets of the EDCUtah physical facility.

You might be a good fit if: You are highly organized and can manage multiple responsibilities concurrently. You must also be able to comfortably interface with senior leaders and act as the point of contact between team executives and internal/external clients.

EDCUtah’s executive team is responsible for this fund raising, and this position ensures that function operates effectively. EDCUtah’s Board of Trustees is also responsible for the successful execution of the mission, and maintaining those relationships is critical to their continued involvement.

Primary Duties:

Executive Assistant (30%): Manage the schedules for the EDCUtah executive team and support all arrangements for travel outside of the office. Support the executive team in managing communications and engagement with both internal and external stakeholders. Maintain contact information and mailing lists for EDCUtah investors.

Business Development Team Support (20%): Provide backup support to the business development team and support all arrangements for site visits, travel arrangements, and maintain calendar for various rooms, company vehicle, and Zoom accounts.

Board of Trustees Coordination (10%): Serve as a liaison between the executive team and Board members. Manage all Board of Trustee and Board of Advisor communications, including the scheduling and noticing of all meetings. Work with the executive team on all facets of Board of Trustee reporting.  

Office Management (30%): Maintain office supplies inventory by checking stock to determine inventory level and placing and expediting orders for various supplies and resources. Ensures operation of equipment and responsible for calling for repairs and service when needed. Maintain and organize supply room and break room.

Other Key Responsibilities (10%):

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Process any incoming revenue, track, and photocopy and prepare for deposits.

Generate monthly credit card transactions on revenue log and verify purchases.

Miscellaneous duties as assigned.

Minimum Qualifications:

Associates or Bachelor’s degree in Business Administration or related field is suggested.

Experience with Microsoft Office is a must. Salesforce experience preferred.

Demonstrated self-starter with ability to communicate effectively and accurately both in written and verbal form.

Preferred Qualifications:

Previous Executive Assistant experience.

Job Title: Events Manager

Status: Exempt
Department: Research & Marketing
‍Reports To: Senior Manager of Strategic Marketing
Position Salary Band: $40,000 to $60,000/year
Direct Reports: 0-1
‍Travel Requirement: 15-20 days/year
Extended Hour Requirement*: yes
‍Physical Requirements: Must be able to lift 50 lbs. Must be able to kneel, bend, crawl and stretch regularly. Must be able to climb and work on a ladder. This position will occasionally have requirements related to the setup and takedown of trade show booth infrastructure.

This position has responsibility in all areas of the organization’s events, particularly: events planning and execution, digital marketing, and communications.

How this job supports EDCUtah’s Mission:
Successfully recruiting companies to Utah involves building awareness around Utah’s assets and capabilities in addition to equipping EDCUtah’s business development team, and its community partners, with the information they need to deliver a sales pitch.

Primary Duties:

Event Management (50%): Plan, coordinate, and execute all EDCUtah events, including supporting overall event strategy. This includes coordinating EDCUtah’s presence at trade shows, including booth space, marketing materials, and staffing needs; and supporting internal events by identifying venues, managing logistics, coordinating with participants and attendees, engaging vendors, managing budgets, developing and adhering to processes and timelines and reporting on all outcomes.

Brand Management (15%): Assist in the development of new marketing materials, and act as an internal contact for PowerPoint creation. Ensure all documents, presentations, ads, etc., conform to EDCUtah’s style guide.

Content management (10%): Support the senior manager of strategic marketing in original content creation, secondary content collection, and publishing to the website, social media, and EDCUtah’s newsletter.

Manage investor communications (15%): Draft and send out investor announcements, project update reports, and all event communications. Manage EDCUtah’s mailing list database, including general investors, board of advisors, board of trustees, RFIs, special events, etc.

Other Key Responsibilities (10%):

Ensure all data on EDCUtah’s website stays up-to-date, including adding and removing investor logos and other information as needed.

Assist in writing and proofing letters, presentations, profiles, custom reports, industry summaries, etc.

Own all EDCUtah’s mailing lists for site selectors, both electronic and physical addresses. Ensure all information is kept up-to-date. Build and manage processes where needed, and ensure others who are sending out content are following process.

Minimum Qualifications:

Degree in Marketing, Business Administration, Communications, or a related field; or equivalent work experience.

Experience with virtual event platforms.

Excellent communications skills, particularly writing.

Preferred Qualifications:

2+ years’ experience in similar marketing role, or a related field.

Familiarity of graphic design tools such as Adobe Creative Suite.

Understanding of events strategy.

Basic understanding of marketing strategy, including digital marketing.

Knowledge of web content management systems, Google Analytics, social media analytics, and other marketing tools.

Experience with Salesforce.

Economic development experience.
